The Office of the Registrar ensures the accuracy, integrity, confidentiality and security of academic records and reporting at the University. The Office of the Registrar also interprets and enforces academic policies and regulations. Some important Registrar duties include:
- Maintain student records; certify student enrollment for insurance and loan
purposes; verify degrees - Report student grades; evaluate transfer credits; and produce transcripts for
certification, licensure and employment - Clear students for graduation and issue diplomas
- Produce the schedule of classes and maintain student registrations

Degree Application
Candidates who will fulfill their requirements at the end of the current semester must complete the Application for Degree in MyServices
- Select the “Degree Candidate Verification Form”
- Click “Apply” for your Program of Study
- Read the instructions “Before you Begin”
- Review your “Name on Diploma”
- Select the “Graduation Term” from the drop down
- Confirm or update your “Diploma Mailing Address”
- Review and “Submit” your application
A confirmation email will be sent to your Monroe email.

Graduation & Diplomas
What are the graduation requirements for undergraduate students?
To qualify for graduation, candidates must satisfactorily complete all stated requirements of the program for which they seek the degree and have achieved a minimum cumulative and major area grade point average of 2.0. A copy of the student’s high school diploma or equivalent must be on file in the Registrar’s Office prior to the student being eligible to receive a diploma from the University.
What are the graduation requirements for graduate students?
To qualify for graduation, candidates must satisfactorily complete all stated requirements of the program for which they seek the degree and have achieved a minimum cumulative grade point average of 3.0. In addition, students graduating with a concentration must have a cumulative grade point average of 3.0 in their concentration classes. Proof of the student’s bachelor degree must be on file in the Registrar’s Office prior to the student being eligible to receive a diploma from the University.
I will complete my degree program in the Spring semester. Will I be eligible to participate in Commencement in June?
Students registered for their final semester in the Spring are eligible to participate in Commencement if their degree audit reflects a pending completion status.
Will I receive my diploma at Commencement?
No. Your diploma will be sent to you at home (or whatever address you provide).
When will I receive my diploma?
Your diploma will be ready approximately two months after your degree requirements are met. Those finishing at the end of the Winter semester in mid-April, for example, should expect to hear from the Registrar’s Office by late June about their diploma.
How will I be notified that my diploma is ready?
You will receive an email from the Registrar’s Office when your diploma is ready to be mailed from the diploma vendor. Accordingly, make sure that you continue to monitor your College email address and that we have your current personal email address on file.
Does my concentration or minor show on my printed diploma?
No. However, concentrations and minors are included on your official transcript.
Can I get a digital version of my diploma?
Yes! As of the 2021-2022 academic year, we now also issue a digital diploma through our vendor, Parchment. Students with minors, concentrations, or graduates of the Honors Program will find these specializations noted on the second page of their digital diploma.
To view the second page of your digital diploma, click on the Parchment link below the phrase “Verify this credential online at:” Then click the arrows on the top right to toggle from the first page to the second page.
Can someone pick up my transcript, official letter, or diploma for me?
Yes. The person must present a copy of your photo ID that bears your signature along with a signed letter from you authorizing the person to collect your official document. The person who is picking up your official document must also provide a photo ID.
I graduated but did not receive my diploma. How can I receive my diploma?
Fill out and submit a Diploma Mail Request Form and we will mail your diploma to you.
How can I obtain a replacement diploma?
If your original diploma has been lost, damaged or destroyed, you may order a duplicate diploma from the Registrar’s Office. The fee is $30 per diploma. Please contact the Registrar’s Office for details.
How do I invite international guests to graduation?
Foreign visitors are encouraged to review the U.S. Department of State’s website for important travel information and visa requirements specific to residents from their home country (see website). To help your international guests verify their purpose for traveling to the U.S., you may request an enrollment confirmation and graduation eligibility letter from the Registrar’s Office, which verifies that you are in your final semester or have completed your degree and you are eligible to participate in this year’s graduation ceremony.

If you are a student seeking letters and certifications, you must submit a request form to the Registrar's Office or you may submit a signed letter with your student ID or social security number indicating the information needed and to whom it should be sent. Note that requests take 2-5 business days to process from the date the letter request is received.
How can I request an enrollment verification letter?

Can someone pick up my official letter for me?

How do I get my FIA forms completed?
Family Independence Administration (FIA) forms are completed by the Registrar’s Office within five days after receipt. Students must be registered and have no outstanding Financial Aid restrictions.
When can I submit an FIA form for an upcoming semester?
We accept FIA forms for an upcoming semester during the final week of the current semester. Students must be registered for courses for the upcoming semester and have no outstanding Financial Aid restrictions.
Transcript Requests
How do I order my official transcript?
Official transcripts may be requested through the National Student Clearinghouse. There is a fee. Please read the instructions posted on the Welcome page for important information. Follow the steps on the website to complete the request. Transcript requests are generally processed within 1-3 business days.
How do I access my unofficial transcript?
Unofficial transcripts are available free of charge for current students. To access an unofficial transcript, please log in to MyServices. If you do not remember your username and/or password, you may email Monroe’s Help Desk at helpdesk@monroecollege.edu for assistance.
I have a hold on my transcript request. Why was my credit card charged?
While it may appear that your card was charged, it was actually just a pre-authorization. Your card will not be charged until your transcript is processed.
Transfer Credit Procedure & Policies
What is the maximum number of transferable credits?
The following guidelines are applied when awarding transfer credits:
- A grade of C or better is required for transfer credit. Some of our Schools or Academic Programs may require a higher grade based on specific programs.
- Students transferring from two-year institutions to an associate degree program may transfer a maximum of 30 credits (they cannot be used to satisfy upper-level course requirements in your major unless approved by the School Dean).
- Students transferring from two-year institutions to a bachelor’s degree program may transfer a maximum of 66 credits (they cannot be used to satisfy upper-level course requirements in your major unless approved by the School Dean).
- Students transferring from a Bachelor’s degree program may transfer a maximum of 90 credits.
- The King Graduate School may accept up to six (6) graduate level transfer credits for 36 credit programs and up to nine (9) graduate level transfer credits for 42-45 credit programs.
How soon will I see my transfer credits from my CLEP exam on my transcript?
Transfer credits from the CLEP exam will be noted within three business days after the official transcript has been received from the University Board with your official scores.
I received my official transcript from my prior institution in the mail. May I open it before submitting it to Monroe?
No. The envelope must remain sealed to qualify as an official transcript. Opened envelopes will not be accepted as official.
Can I get a copy of an official transcript I brought from another college?
No. Monroe University does not provide copies of other institutions’ transcripts. You must contact the other institution directly.

Change of Information/Updating Contact Information
How can I update my address?
Address changes can be made online through MyServices or by completing a Change of Information form.
How do I change or correct my name?
To make a change or correction to your name, you will need to complete a Change of Information form. All name changes must be accompanied by supporting original documentation i.e. state ID or passport and social security card (if applicable), along with one of the following: marriage certificate, divorce decree, court order, birth certificate and/or Certificate of Naturalization.

Registration
MyServices is your online resource for registration, schedule adjustments and personal academic information. The system can be used by current students to:
- Search and register for classes for the upcoming semester once the registration period has begun
- View and print a copy of your degree audit, which shows exactly which courses you have taken, are taking, and need to take in order to graduate
- See final grades for completed semesters
- Get a copy of your schedule
- View or print your unofficial transcript
- Change address information
You can search for course sections without logging in but all other functions require a username and password, which should be the same as your e-mail login.
